1. Defining Your Grading System
Before the first exam takes place, you must define the "Logic" of your school’s academic standards.
A. Grading Scales
Navigate to Academic > Settings > Grading Scales.
Define point-based or percentage-based systems (e.g., 90-100% = A+).
You can create different scales for primary and secondary sections if your school requires specific standards by age group.
B. Weighted Averages
Not every assessment has the same impact on the final grade.
Classwork/Home Assignments: 20% weight.
Mid-Term Exams: 30% weight.
Final Exams: 50% weight.
The ERP automatically calculates the final grade based on these predefined weights.
2. Mark Entry: Step-by-Step
Teachers can enter marks directly through their personalized dashboard.
Select Class and Subject: Choose the specific group you are grading.
Select Exam Type: (e.g., Phase 1 Quiz).
Input Scores: Enter the raw marks for each student.
Bulk Entry: You can download an Excel sheet with student names, fill in the marks offline, and re-upload it to save time.
3. Automated Calculations
Once the marks are saved, the "Brain" of the ERP takes over.
Rank Generation: The system automatically calculates student rankings within the section and the entire class.
Pass/Fail Logic: Based on your school's standards, the system highlights students who may need extra academic support.
Subject-Wise Analysis: Generate charts showing the average performance of a class in a specific subject (e.g., "Class 8 Math Performance over 3 years").

4. Generating and Publishing Report Cards
The "Report Card" is the final product of your academic labor.
The Digital Report Card
Every student receives a branded PDF that includes:
Subject-Wise Grades: Both raw marks and letter grades.
Attendance Summary: Automatically pulled from the Attendance module.
Teacher Comments: Personalized feedback for the student.
Graphing Evolution: A visual chart showing if the student's grades are improving or declining compared to previous terms.
Publishing to Parents
Admins can choose to "lock" results until a specific date. Once published:
Parents receive an instant SMS/Notification.
Guardians can log in to the Softsasi Parent Portal to view and download the report.
5. Security and Integrity of Grades
[!IMPORTANT]
To prevent tampering, the Results module includes a "Seal & Submit" feature. Once a teacher submits the final grades for an exam, they can no longer be edited without a principal’s digital override. This ensures the integrity of student records.
6. Pro Tips for Efficient Grading
Use Rubrics: Define specific criteria for projects (e.g., Creativity, Research, Organization) to provide more granular feedback.
Teacher-Parent Communication: Use the "Comment Box" for more than just grades. A simple sentence from a teacher can be a huge motivator for a struggling student.
7. Summary
By automating the mathematical side of grading, Softsasi allows teachers to do what they do best: teach. Our ERP ensures that no calculation errors occur and that students are judged fairly based on your school’s unique standards.
