Managing Subscriptions & Renewals: Ensuring Continuous Service

Many of Softsasi’s core products—including ERP modules, Agami OS, and AI hosting—operate on a subscription basis. This model allows us to provide continuous updates, security patches, and 24/7 support. This guide explains how to track your active subscriptions, manage renewals, and ensure your business operations never face an unexpected outage.
1. Viewing Your Active Subscriptions
To see which services are currently active, go to Account Dashboard > Subscriptions.
Status Indicators:- Active: Your service is running normally.
- Expiring Soon: Your renewal date is within 7 days.
- On Hold: A payment attempt failed. Action required.
- Cancelled: The service will stop at the end of the current billing cycle.
2. How Renewals Work
By default, all Softsasi subscriptions are set to Manual Renewal to give you full control over your spending.
The Renewal Timeline:- 14 Days Before: We send a "Renewal Reminder" email.
- 7 Days Before: Your dashboard will show an "Expiring Soon" alert.
- The Due Date: A new invoice is generated.
- Grace Period: We provide a 3-day grace period for ERP and web hosting to ensure your business doesn't go dark while you process payment.
3. Enabling Auto-Renewal
If you prefer "Set-and-Forget" convenience, you can enable Auto-Renewal via PipraPay.
- Go to the specific subscription in your dashboard.
- Toggle the "Auto-Renew" switch to ON.
- Link your preferred credit card or mobile wallet.
- The system will automatically process payment on the due date and email you a receipt.

4. Upgrading or Downgrading Plans
As your business grows, your needs change.
- Upgrading: You can upgrade your plan at any time. The system will calculate the "Pro-Rated" difference.
- Example: If you are halfway through a $100 plan and upgrade to a $200 plan, you will only pay $50 for the remainder of the month.
- Downgrading: You can schedule a downgrade to take effect at the next billing cycle. This ensures you still get the full value of the higher tier you’ve already paid for.
5. Cancelling a Subscription
We make it easy to leave if you no longer need a service.
- No Lock-In: Most plans are monthly. You can cancel at any time.
- Data Portability: Before you cancel (especially for ERP or School modules), use the "Export All Data" feature to download your records in CSV format.
- Retention: Cancelled services remain active until the end of the Current Billing Cycle. No partial refunds are issued for mid-month cancellations.
6. Managing Payment Methods
To avoid renewal failures, keep your payment methods updated.
- You can store up to three payment methods in your dashboard.
- If your primary card expires, the system will automatically attempt your "Secondary" method.
7. Pro Tip: Annual Savings
[!TIP] Most Softsasi subscriptions offer a 20% Discount if you switch from Monthly to Annual billing. You can make this change in the "Manage Subscription" panel to save significantly on your long-term overhead.8. Summary
