In business, documentation is just as important as the service itself. At Softsasi, we provide transparent, automated, and tax-compliant financial records for every transaction. This guide explains the difference between your billing documents, how to access them, and how to use them for your business accounting.

1. Invoice vs. Receipt: What’s the Difference?
  • Invoice (The "Request"): A document sent to you before payment is made. It outlines the services you have ordered, the pricing, and the payment deadline. It is a formal request for payment.
  • Receipt (The "Proof"): A document issued after your payment has been successfully processed. It serves as legal proof that you have fulfilled your financial obligation.

2. Locating Your Financial DocumentsAll your financial history is stored centrally in your Softsasi Account.

Step-by-Step Access:
  1. Log in and go to the "Transactions" or "Billing" tab.
  2. You will see a chronological list of all orders.
  3. Click on any order ID to see the "Document Suite".
  4. From here, you can click "Download PDF" for either the Invoice or the Receipt.

3. What Information is Included?Every Softsasi financial document is designed to be "Audit-Ready."

  • Unique ID: A serialized number for your accounting records.
  • Vendor Information: Softsasi’s legal address and tax registration.
  • Client Information: Your company name and address (as provided in your Profile Settings).
  • Itemized Breakdown: A clear list of each service, tax rate (GST/VAT), and any applied discounts.
  • Timestamp: The exact date and time the transaction occurred.

4. The Billing Lifecycle

5. Requesting Billing ModificationsWe understand that sometimes you need to change your billing details after an invoice has been generated (e.g., adding a specific Tax ID or changing a business address).
How to request a change:
  1. Do not pay the incorrect invoice yet.
  2. Open a support ticket in the "Billing" category.
  3. Specify the changes needed (e.g., "Please add my VAT ID: 12345 to Invoice #889").
  4. Our billing team will issue a "Revised Invoice" within 24 hours.
6. Pro Tips for Tax Season
[!TIP] Use the "Bulk Export" feature. In the Billing tab, you can select a date range (e.g., January 1st to December 31st) and download all your receipts as a single ZIP file. This is a massive time-saver for your accountant during tax season.
7. Security of Your Billing DataYour invoices often contain sensitive business details.
  • Restricted Access: Only the primary account holder can download billing documents.
  • No Email Attachments: For security, we do not send PDFs as email attachments. We send a secure link that requires you to log in to your dashboard to view the document.
8. SummaryClear billing documentation is the backbone of a professional business relationship. By centralizing your invoices and receipts in your Softsasi dashboard, we ensure you have "One Source of Truth" for your accounting, audits, and business planning.
